Branded Conference Entrances
A conference hotel is rarely running one event. Delegates step out of a lift or a corridor onto a floor with several rooms in use, and the first thing they need to know is which door belongs to them. An entrance installation answers that before any printed sign is read.
Entrance work at a conference also sets the production standard for everything behind it. Delegates form a view of how well an event is run from what they see while still outside the room, which is why the entrance is usually the first element to be confirmed and the last to be compromised.
Balloon Décor built blue-and-white entrance arches for a conference at the Hyatt Regency San Francisco Airport, using three tones — blue, light blue and white — to give the arches depth without introducing a second color story against the hotel's own interior.
Stage, Registration and Networking Area Décor
Delegates spend most of a conference in three places: seated in sessions, queuing at registration, and standing in the space between the two. Each has a different requirement.
The stage is where the event's photography is generated, so a defined backdrop is worth more there than décor anywhere else. Registration is the first physical interaction of the day and usually the least designed part of a conference — a treatment there converts a folding table into part of the event. Networking and break areas are where delegates actually talk to each other and take their own photographs, and they are frequently left undressed entirely.
The Asset Symposium project in San Francisco concentrated on exactly these transition areas, keeping the register professional enough for a business audience while still marking the event.
Tech Summit and Symposium Installations
Technology summits produce more photography than almost any other corporate format. Attendees photograph the space, speakers are captured against whatever is behind them, and the images circulate internally and publicly for weeks. That makes the backdrop a working asset rather than decoration.
For AWS Tech Summit 2025 in San Francisco, Balloon Décor built a metallic organic balloon backdrop in blue, teal, white and marble. Blue and teal carry the technology register without falling back on flat corporate blue, and the metallic and marble finishes hold depth under event lighting where a matte single-color wall flattens.
Organic construction — varied balloon sizes and spacing rather than a repeating unit — is what keeps a backdrop reading as designed at close range while still working as one clean shape in a wide shot.
Event Branding Through Color and Form
Most conferences already have a visual identity: a logo, a palette, a stage set, printed signage. Décor should extend that identity rather than introduce a competing one.
The most reliable method is to work from the event palette and let form do the rest. The BAMM conference installation at the Hyatt Regency San Francisco Airport was built at large scale in the event brand colors so delegates read the identity across the room. The MATS ML Alignment and Theory Scholars event took the opposite scale: an organic garland in burgundy, white and clear framing the client's own printed banner, composed to lead the eye to the brand rather than compete with it.
Where a garland or arch surrounds a client's signage, the two have to read as one unit. That is a composition decision, and it is made before anything is built.
Large-Venue Installation Planning
Scale changes the problem. In a ballroom or atrium, the design decisions that matter are structural: where the visual mass sits, how it relates to ceiling height, and whether it still reads from the far end of the room. Décor that would fill an office lobby disappears in a conference hall.
The constraints are equally practical. Rigging and attachment are governed by house rules, the build happens between the previous booking and the conference opening, and the room is released at a fixed time. Can you work within a venue's rigging restrictions?
Yes. Attachment points, ceiling height and load limits are confirmed with the venue before the design is finalized. Where nothing may be attached to the building, freestanding formats such as columns and organic arches are used instead.
Can you build in the turnaround between two events in the same room?
That depends on how long the window is and how large the installation is. Send the venue and the schedule and our team will confirm what can be completed in the time available before the design is agreed.
Do you work on technology campuses as well as hotels?
